Getting started

Claiming your pharmacy and setting it up.

  • Find your pharmacy in the NHS list, confirm its GPhC premises number, choose a plan, reserve your first payment on a card and create your account. We check the claim, usually within one working day, then you set up services, hours and your team.

  • Every pharmacy and every new branch is checked by a person against the GPhC register before patients can book. We also confirm you work there, with a code sent to the pharmacy's NHSmail inbox or read out on its NHS-listed phone number.

  • The list comes from NHS England's Organisation Data Service and covers pharmacies in England. If yours is missing or its details are wrong, contact us and we'll help.

  • No. Pharmivo handles bookings, payments and appointments. Clinical records, EPS and prescribing stay in the systems you already use.

  • Most pharmacies are ready in under an hour once approved: add your services and prices, opening hours and staff working hours, then share your booking link and QR code.

Pricing and billing

Plans, text messages, payment, the money-back guarantee, invoices and cancelling.

  • When you claim your pharmacy, your first payment is reserved on your card but not taken. We take it only when we approve your claim; if we can't, the hold is released and you pay nothing. Once you're live, you have a 14-day money-back guarantee: cancel within 14 days for a full refund.

  • No. You pay one monthly price, however many bookings you take, including bookings from your campaigns. Patients pay your normal price and never a booking fee, and NHS services stay free for them.

  • Payments go through Stripe directly into your pharmacy's own Stripe account, with Stripe's normal card fee. Pharmivo adds nothing on top. You can also let patients pay at the pharmacy.

  • Each extra branch is £35 a month, from when it goes live. Or choose a plan that includes more: Pro includes 3 branches and Group 10. With 20 or more branches, talk to us about Enterprise.

  • Starter includes 5 staff accounts and Pro 20. Add more at £8 each a month from Plan and billing. Group has unlimited staff.

  • Yes. Annual costs ten months' price for twelve, so two months are free. You can switch between monthly and annual at any time.

  • Contact us and we'll agree a price for your group, with everything in Group and dedicated support.

  • In Plan and billing, under Card, invoices and cancelling. Every invoice can be downloaded as a PDF.

  • Yes, at any time from Plan and billing. In your first 14 days you get a full refund and the plan ends straight away. After that, everything keeps working until the end of the period you've paid for, and you can change your mind before then with Keep my plan.

  • When you claim your pharmacy, on the card step. Already subscribed? Add it in Plan and billing; it comes off your next invoices.

  • Texts are pay as you go on every plan: 500 texts for £30, 2,000 for £100 and 5,000 for £225, plus VAT. That's 6p to 4.5p a text. One credit is one text of up to 160 characters, and credits never expire. Texts show your pharmacy's name as the sender.

  • No. Growth, email and text campaigns, deposits and pre-booking questions are included in every plan. Texts are the only thing you pay for as you use them.

  • No, prices exclude VAT. VAT is added where it applies and shows on your invoices.

Bookings and patients

How patients book, pay and manage their appointments.

  • No. Patients book on your booking page and confirm with a code sent to their email. They use the same email to see, move or cancel their booking.

  • Only times when your branch is open, someone who can deliver the service is working, and nobody is already booked. Closures and bank holidays you add are left out automatically.

  • Yes, for private services once you connect Stripe. The time is held while they pay on your booking page, and a paid booking cancelled at least an hour before is refunded in full automatically.

  • Yes. They get a confirmation by email when they book and an email reminder 24 hours before, plus an email if the time changes or it's cancelled. You can also send reminders by text, using text credits.

  • Yes. Your booking page has a Have a question? form; it emails your pharmacy's owners, and replying goes straight to the patient.

  • On any private service you can ask for a deposit, for example £10 online when booking and the rest at the pharmacy. It goes straight to your Stripe account. If the patient cancels in time it's refunded; if they don't turn up, you keep it.

  • Yes. Add up to 5 simple questions to a service, such as "When do you travel?". The answers are shown to your pharmacist with the booking. Pharmivo never decides anything from them.

Growth and campaigns

Finding empty slots and patients due again, and inviting them back.

  • With fixed rules, not AI. It looks at your diary and appointment history for empty slots in the next 7 days, services booked less than in the previous 30 days, branches behind or ahead of their monthly targets, and patients due again, such as a yearly flu jab, using the "due again after" setting on a service. Any £ figure is an estimate from your own prices, and Pharmivo shows how it was worked out.

  • No. Each opportunity drafts a ready-made campaign with the right patients, and you check it. Nothing is sent until you press Send. You can send up to 3 campaigns a day, and texts only go out between 8am and 9pm.

  • Only to patients who have opted in, and that's all Pharmivo will send to. Patients give separate consent for email and for texts, and we keep a record of it. Every message has a one-click unsubscribe or "Stop texts" link. This follows PECR and UK GDPR.

  • Every online booking records where it came from: a campaign, your QR code, a shared link, your website button or the Pharmivo directory. Each campaign shows the bookings it brought and the £ booked, and Analytics shows bookings by source.

  • No. There's no open tracking. We only count clicks on the booking link, so we can show which campaigns brought bookings.

NHS services

Pharmacy First, vaccinations and prescribing.

  • Yes. Mark a service as NHS and it's always free for patients, with no card asked for. Pharmacy First, flu and COVID vaccinations and blood pressure checks are common examples.

  • Yes. A prescribing consultation is a bookable service like any other. Your authorised pharmacist sees the patient and, where clinically appropriate, prescribes using your existing approved system. Pharmivo never issues prescriptions itself.

  • Each service can show who it's for, for example age ranges for Pharmacy First conditions. The pharmacist still checks it's right for the patient at the appointment.

Security and data

Where data lives, and who can see it.

  • In the UK (London). Each pharmacy's data is kept separate from every other pharmacy's.

  • Your pharmacy is the data controller for its patients. SiteGrowth, which runs Pharmivo, processes that data on your behalf under a data processing agreement. A patient's Pharmivo sign-in account is SiteGrowth's responsibility.

  • Other pharmacies can't: the database itself keeps each pharmacy's data apart. SiteGrowth's admin tools show pharmacy claims and branch checks, not patient records.

  • No. It isn't a clinical record, a PMR, an EPS or prescribing system, or a medical device, and it doesn't make clinical decisions. Those stay with your pharmacists and the systems you already use.

  • No. Growth uses fixed rules you can check, and pre-booking answers are only shown to your pharmacist. Pharmivo never makes a clinical decision or decides who can book from a patient's answers.

  • As little as possible. Confirmation and reminder emails give the pharmacy, date and time, but not the name of the service, so a shared inbox doesn't reveal why someone is visiting.

  • With a code sent to their work email: there are no passwords to leak or reuse. Pharmacies can also require an authenticator app for every member of staff.
