Terms of service

The agreement between your pharmacy and SiteGrowth for using Pharmivo, plus what patients booking through it need to know.

The short version

  • Your first payment is reserved when you claim and taken only if we approve you; 14-day money-back guarantee. Then a monthly or yearly plan, no commission.
  • Patients pay into your own Stripe account, with automatic refunds when they cancel in time.
  • You're responsible for your services, prices and clinical decisions; Pharmivo handles booking.
  • You're the data controller for your patients; we process their data for you.
  • Change plan at any time; online booking pauses (nothing is deleted) if payment stops.

1.About these terms

These terms are an agreement between your pharmacy business andSiteGrowth Limited (“SiteGrowth”), registered in England and Wales, company number 16742174, registered office 2nd Floor, Berkeley Square House, Berkeley Square, London W1J 6BD, which runs Pharmivo. They apply when you claim a pharmacy, subscribe or use the service.

Patients who book through a pharmacy's page are covered by the section Booking as a patient below and by our privacy notice.

2.Who can use Pharmivo

  • Registered pharmacies in England with a GPhC premises registration.
  • The person claiming a pharmacy must be authorised to act for it and to accept these terms on its behalf.
  • We check every pharmacy and every new branch against the GPhC register, and may contact the pharmacy, before patients can book. We can refuse or suspend a listing we can't verify.

3.Your team's accounts

  • Everyone has their own sign-in; accounts must not be shared. Staff sign in with an email code and an authenticator app.
  • You decide who joins your team and what each person can do, and you remove people who leave.
  • Tell us straight away at info@pharmivo.co.uk if you think an account has been misused.

4.Plans, billing and the money-back guarantee

  • When you claim your pharmacy, your plan's first payment is reserved on your card, not taken. It's taken only when we approve your claim, and your plan starts that day. If we don't approve it, the reserved payment is released and we remove your card.
  • 14-day money-back guarantee: if you cancel within 14 days of your pharmacy being approved, we refund what you've paid in full and your subscription ends straight away. Pharmacies that joined with a free trial keep it until it ends.
  • Plans are charged in advance, monthly or yearly at ten months' price: Starter £79 a month (1 branch and 5 staff accounts included), Pro £149 (3 branches, 20 staff accounts) and Group £349 (10 branches, unlimited staff). Extra branches are £35 a month each from when they go live; extra staff accounts on Starter and Pro are £8 a month each. Prices exclude VAT. For 20 or more branches we agree an Enterprise price with you. See pricing for what each plan includes.
  • You can change plan at any time. When you do, or a branch goes live or closes, or you add or remove extra staff, or switch between monthly and yearly, the difference is prorated for the rest of the billing period.
  • If a payment fails, or a free trial from before ends without a subscription, online booking pauses until the subscription is paid. Your team keeps access and nothing is deleted.
  • We take no commission on bookings. We'll give you at least [30 days'] notice of any price change.

5.Taking payments from patients

  • Online payments go through Stripe, straight into your pharmacy's own Stripe account, under Stripe's terms. Stripe charges its normal card fees to your account.
  • When a paid booking is cancelled in time, the patient is refunded in full automatically. You set your own prices; NHS services stay free to eligible patients.
  • You can choose to take payment at the pharmacy instead.

6.Your responsibilities

  • The services you offer, their clinical suitability, eligibility and prices are your responsibility, as are the pharmacists who provide them.
  • Pharmivo is a booking and payments tool. It is not a clinical record, a PMR, an EPS or prescribing system, or a medical device, and it doesn't make clinical decisions.
  • Keep your pharmacy's details, opening hours and services accurate, and deal with patients' bookings and requests promptly, including requests about their data.
  • Don't use Pharmivo for anything unlawful, to send marketing without consent, or to try to access other pharmacies' data or break its security.

7.Data protection

Your pharmacy is the data controller for its patients' information and SiteGrowth is your processor. Our data processing agreement [to be published] forms part of these terms and sets out how we handle that information, including security, sub-processors, and helping you answer patients' requests. 8.Service and support

We work to keep Pharmivo available and secure, but can't promise it will never be interrupted, for example for maintenance or problems with the services we rely on. We'll tell you about planned work that affects you where we can. Support is by email at info@pharmivo.co.uk, with a reply within one working day [service levels to be confirmed].

9.Cancelling

  • Within 14 days of approval you can cancel for a full refund (see the money-back guarantee above). After that you can cancel at any time from Plan and billing; your subscription ends at the end of the period you've paid for, and isn't refunded.
  • Before you leave, owners can export each patient's record. After cancelling we keep your data for [period to be confirmed], then delete it, unless the law requires us to keep it longer.
  • We may suspend or end an account that breaks these terms, puts patients at risk, or isn't paid, and will give notice where we reasonably can.

10.Liability

11.Booking as a patient

  • Your booking is with the pharmacy, which provides the service and sets the price. Questions about a service or your health go to the pharmacy.
  • You can change or cancel from the link in your emails or on your bookings page, up to 1 hour before. Paid bookings cancelled in time are refunded in full.
  • Pharmivo isn't for emergencies. If you feel very unwell, call NHS 111, or 999 in an emergency.

12.Changes and the law

We may update these terms and will give you at least [30 days'] notice of significant changes by email. These terms are governed by the law of England and Wales, and its courts deal with any disputes [to be confirmed].
